Filipinos Applying For Schengen Visa from Japan

My wife and I just received our Schengen Visas today, and to help other Filipinos who would also like to visit the Schengen Area, let me share our experience getting it. We were planning to visit Austria and Germany in May so we figured two months before our planned trip would be a good time to apply for the visa.

Since we were planning to enter the Schengen Area via Austria, and are potentially spending equal amounts of time in both countries, we decided to apply at the Austrian embassy. The Austrian Foreign Ministry Website was very detailed with the requirements so it was a good starting point in our preparation.

For reference, these were what I brought with me to the Austrian embassy.

  • Duly completed Schengen application form
  • Passport (actual, and photocopy of page with personal details and all visas contained)
  • Japanese Residence Card (actual, and photocopy)
  • 1 passport-size photo (35 mm x 45 mm)
  • Bank account (actual, and photocopy or cover, and activities for last 6 months)
  • Print-out of hotel reservations
  • Print-out of health insurance (we got one from AXA Schengen)
  • Print-out of proof of employment with details about the start of employment,  position and income
  • Print-out of flight reservations
  • Print-out of itinerary with details about destinations, and hotel reservations
  • Prepaid self addressed envelope, (Letter pack from the Japan Post Office)
  • € 60 in equivalent yen (7,680 yen)

Note that this is a summarized list and may only be applicable to my case when I applied in March 2016. Make sure to refer to the embassy website for more details, and other requirements, that may be applicable to your particular case.

Before visiting, I called the Austrian Embassy to confirm if I needed to make reservations before visiting, and what time they accept applications. Looks like I can just visit them during normal weekdays, anytime from 9:00 AM to 11:00 AM. For people closer to Nagoya or Osaka, looks like they also accept applications via VFS. As I was currently based in Tokyo, I just applied at the embassy.

We arrived there at 9:30, and there were two people who came in before us. There was only one person manning the window, and looks like she is the one doing everything — from receiving the applications, to verifying the documents, to approving the applications. She would call the applicants once in a while to ask for additional documents, or to get fingerprints.

Luckily, not many people are applying for visa here in Tokyo because Japanese people, and most foreigners, do not need visa to visit Europe. I believe the ones who were there before us were university students one from Russia, and another from China — most likely applying for visa for a conference in Vienna.

It was a small room so we can hear all the conversations, not to mention the lady behind the window was speaking through a microphone, so others could know some details from your trip. 🙂

At around 11:00, she called us to inform us our documents looked fine, and they would mail us our passports with the visa on it. We got the visa one week later, and that’s it!

    1. Hi Anne, I booked mine from Expedia. I just printed the booking from Expedia and used that when applying for Visa. Hope this helps. Enjoy your first European trip!

        By the way, when you booked your ticket at Expedia, have you already paid for your tickets? I read some pinoy forums that they reserve their tickets first (approx 2 weeks reservation) then they book upon visa approval. I am not sure if I have to take the risk since the tickets are pricey. Do you think it is easier to apply schengen visa here in Japan?

      2. May be good advice to reserve first then book upon visa approval. I took the risk luckily visa got approved. As for applying for visa, I would say much better to apply here in Japan. Less lines as the local Japanese never have to apply for visa to those countries, unless for studying or working in Europe. Enjoy your trip!

        I finally applied for a schengen visa at German Embassy on first week of March and just received my passport with visa on it!
        Everything went well with the documents I submitted except for the travel insurance. My aunt in Germany got me a travel insurance and the consul had thought the one I have submitted is only a receipt so my aunt had to request for the actual certificate from the insurance. After the consul received the insurance via email last Monday, they immediately sent my passport.
        My purpose is visit relative and I have provided the guarantor letter from my aunt and uncle. Bank statement is not necessary for this.
        Your blog helped me a lot and encouraged me to continue my plan on my first Euro trip. Thanks a lot!!!

        Hello. Thanks for this helpful blog. I am also in Tokyo and my University is planing to send me for a short 2-week course in Germany. 4 days before that, I will do a presentation in an international conference in Spain and have to stay for 5 days. Both activities will be all paid by my university but not the expenses for the 4-day gap. In case, the plan is I will go back to Japan after Spain, then go again to Germany after a day or 2. My question is, is it possible to apply and get a multiple entry schengen visa? By the way, this will be my second time applying for schengen visa, since i’ve got one last year when i went to Netherlands for a conference presentation. Thanks a lot!

      6. Oh. Your case seems a little special I may not know the answer because I never needed a multiple re-entry visa. I’ve been to Europe several times and each time, I got a single entry visa. I would think they also issue multiple re-entry visas, but I guess the best place to get the answer is officially either with the German or the Spanish embassy.         Hi Enrico, thanks for your quick response. When I checked my previous schengen visa, I didn’t know that I’ve actually received a multiple entry type, though duration stay is already over. I’ve seen also in the schengen visa application e-form (German embassy website) that there is an option for either single or multi entry, so there must be no problem. I guess I have to apply to German Embassy since I will be staying longer there than in Spain. Now, I could imagine how tiring the flight will be from going back and forth to Europe in a day or two. Still practical to stay within the area in between of these business trips. Should just find way to justify to my university. By the way, thanks a lot.

    1. At least for my case when I applied at the Austrian embassy last year, I didn’t need to have the documents translated and certified. Might be a good idea to call them and confirm just to be sure. 🙂

    1. Hi Audrey, I think one month is enough but just to have buffer for any issues, applying earlier is always a good idea. For the bank account, if you have the bank book, I think that should be fine. I didn’t so had to get the documents from the bank. Hope this helps. Enjoy your trip!

    1. In our case since my wife also works, we thought it would be simpler to prepare separate sets of application. We applied together but we both have complete sets of the required documents. Not sure how it works if you apply as a family set. Hope this helps.

Now I wanna take the risk again to apply for schengen visa. My husband’s sister is now working in germany and so we plan to visit her but we just want to apply the visa without declaring a family member but just as tourist. However, I am worried since we just arrived only for a month now and my husband has 1 year residence visa only then the chance would be low? May I know how many years you have in your visa when you applied?

    1. Hi Dessa. I think as long as you can prove you intend to return to Japan, and that you have all the required documents, you should be fine. Try your luck again maybe you’ll be luckier this time. Besides, I think EU is not as strict as the US. Good luck to you and your husband!

My bank account is not really big but probably enough to cover my 5 days trip. Is there an amount you could probably advise for a show money? I wasn’t able to apply in our country because of the strict requirements for Filipinos. Would you recommend to apply to the same embassy (Austria) though I really plan to visit Germany? Or is there any embassy for Schengen member states that can easily approve visas? I would appreciate your advise. Thank you very much.

    1. I think the rule is apply at the Embassy of the country where you are entering or the country where you are spending most of your time. So if you plan to visit Germany, you may need to apply at the German embassy.

    1. I thought about that before when we applied but it was clearly stated in the requirements. When you buy the ticket, make sure it’s refundable.

      2. In my case, they just mailed us the passport so no need to call them and. I need to go back to the embassy to get it. If the instructions you got were to call them, then maybe that’s what you need to do. Hope you get it!

    1. As long as you have a working visa in Japan, you should be able to travel to Australia, and drop by the Philippines on your way back to Japan.

    A) I was wondering if you had to submit income tax returns? I saw that in the list of requirements in the Schengen visa application for first time travellers, but I’m not sure whether it refers to first time Schengen travellers or actual first time travellers? I’ve been working in SG for the last 5 years and now based in Japan (5 months and counting) so I don’t really have any ITRs. I’ve already been to Europe though (on UK visa – expired), I’m not sure whether that helps.

    B) I know someone already asked about bank statements but I was wondering if my passbook (photocopy and original if needed) will suffice? I am with Anan Shinkin bank and none of them really speak English so I’m not sure if I can request for a bank statement.

    1. Hi. I did have to submit by income tax returns though I am not sure what would be the rule for cases like yours. Hmmm. Best would be to call the embassy you’re applying at, and get their official recommendation for your case.

      As for bank statements, why not try going to your bank and asking for a bank statement? I’m sure all banks can give you that, you might just need to overcome the language barrier. Whether your passbook will suffice, I would think it would depend on the embassy your applying at. Best is to try to call the embassy and ask.

  15. hello sir enrico pangan. i would like to know if i need a translations of a japanese document to english like , cert ificate of employment , child travel consent with notarization by the japanese lawyers because my son is minor and i will go to italy without his father. and my son’s certificate of enrollment.

    1. Hmmm. Luckily for me, I was able to get my certificate of employment in English so I didn’t have to worry about that. As for the child documents, I’m not sure because I didn’t travel with a child.

      I would guess it would depend on the embassy you’re applying at if they can accept Japanese documents or not. I would recommend you giving the embassy a quick call to ask.

    Thank you for this post. I am a bit confused as to where I should lodge my visa application. I will be attending a conference in Amsterdam during that last week of July, but will be spending most of my time with my cousins in France. I’m thinking of just applying via the French embassy so that I do not have to be so detailed with my itinerary and book hotels, as well as pay for train and bus reservations. However, I just found out that since I am attending a conference in Amsterdam, that will serve as my main reason for going to Europe. My first question is, do you think it will be better to just apply at the Netherlands embassy?

    I am also tempted to book a flight using Expedia. However, unlike you, I am just a student on scholarship. I don’t know if that will be strong enough to prove that I have enough funds for my trip and that I am most likely going back here in Japan. Therefore, I’m thinking of looking for a travel agent that will allow me to book a flight that can be canceled without much penalty. Would you have some recommendations for this? My point of entry and exit will be France, do you think this will affect my acceptance if I still lodge my application at the Netherlands embassy?

    1. Hello!

      If I remember it right, you can apply either [1] the first country you’re entering in the Schengen area, or [2] the country you are staying the most.

      Since in your case France satisfies both criteria, I think you would really need to apply at the French embassy. Just give proof you are attending a conference in Amsterdam, to maybe make your application more convincing.

I’m having a problem with the travel insurance thou, can I just buy the AXA insurance online? the requirement in spain embassy is original copy of insurance with official stamp of the company. I asked if i can get it from AXA and they said yes, so im just wondering if they have stamp or just an e-copy of the travel insurance is valid?

I plan to travel in July and stay there until August. Would you know if the embassy requires more than 3 months prior to expiry or can I still get it if I apply now? Thanks!

    1. Hmmm. Not sure if that is a requirement for visa application, but I vaguely remember airlines do require your passport to have 6 more months before they allow you. This is to make sure your passport doesn’t expire while you’re traveling.

      I would recommend renew your passport first to be safe.

    1. Hmmm. I think I chose the cheapest one because I just wanted the minimum requirement to satisfy the Austrian embassy. As for home residence, I put Japan because this was where I lived when I applied. Hope you get your visa!

I dont have any bank documents with me only the passport and japanese residents card. But my friend from Germany would willing to support me all the expenses upon applying the visa.     1. For Filipinos, I think the bank statement is necessary. Unfortunately, we need to prove we can afford the trip.

    1. Hi Roderic, make sure you thoroughly read the instructions/requirements from the embassy you’re applying at (Italian Embassy).

      It’s been many years since I applied at the Austrian Embassy, and the information I have in my post might not be accurate anymore.

      The important thing I guess is enjoy the process, and work on it one step at a time. You’ll get there. Enjoy the journey and hope you get your visa!
